Tutorial 4: Locations, Sites, and Areas




Hierarchy of Places

To understand how facilities and places should be organized in custodian … we’ll start with SITEs.

SITES

In the Custodian™ hierarchy of places, a SITE is a specific physical place with a street address. A SITE can be one, single building – or a group of buildings in close proximity.
Some SITEs can be rather large, so Custodian™ requires that each SITE be divided into AREAs.

AREAS

An AREA is a specific space within a SITE – like a specific room number. An AREA could also be a be part of a larger room – like the checkout AREA in a grocery store. You can create unlimited AREAs within each SITE. To accommodate large companies with numerous SITES, Custodian™ uses LOCATIONS.

LOCATIONS

A LOCATION is simply a group of SITES – intended to help organize a company into generalized geographic regions. To avoid scheduling conflicts and confusion, each LOCATION is limited to a single time-zone. Grouping SITES into multiple LOCATIONS is optional, but you must create at least one LOCATION in your Custodian™ database.

Requirements

  • Each COMPANY must have at least one LOCATION.
  • Each LOCATION must have at least one SITE.
  • Each SITE must have at least one AREA.

Create a LOCATION

You MUST create at least one LOCATION for your company.

In the left menu-panel, choose Locations > View/Edit Locations.

This will display a list of your company’s LOCATIONS. If you are setting up a new company this list will be empty. Remember – a Location is not a specific facility; a Locations is a general place-name, like a city or territory.

Click the + New Location button.

Enter the NAME of the new LOCATION, and choose a TIME-ZONE.

PHONE NUMBER and NOTES are optional.

Click SAVE.

Repeat this process anytime to create additional LOCATIONS for your company.

Create a New SITE

You MUST create at least one SITE within each of your company’s LOCATIONs.

There are two ways to create a new SITE.

  1. From the left menu-panel, choose Locations > View/Edit Sites.
  2. From within the Location Details page

Either way will work. Click the + New Site button.

From the drop-down list, choose the new site’s LOCATION.

Give your new SITE a NAME, and enter the main PHONE NUMBER for this SITE.

Select a USER from the drop-down list to act as this SITE’s main point of CONTACT. If this person isn’t yet setup as a Custodian™ user, you’ll need to create a new USER profile for them.

Enter the physical street ADDRESS of the new SITE, including the CITY, PROVINCE/STATE, POSTAL/ZIP CODE, and COUNTRY.

Click SAVE.

Repeat this process anytime to create additional SITES within any of your company’s LOCATIONS.

Create a New AREA

You MUST create at least one AREA within each of your company’s SITEs.

There are two ways to create a new AREA.

  1. From the left menu-panel, choose Locations > View/Edit Areas.
  2. From within the Site Details page.

Either way will work. Click the + New Area button.

From the drop-down list, select the SITE of your new AREA.

Give the new AREA a descriptive name.

Add any necessary notes.

Click SAVE.

Repeat this process anytime to create additional AREAs within any of your company’s SITES.
